Terms and Conditions
All attendees must be registered for the convention. Returned checks will be subjected to a $35 fee. ACTFL and the registrar, Maritz, reserve the right to charge the real amount due if/when this differs from the total amount due. All payments including Purchase Orders (POs) and checks must be received before access can be granted to the event.
Important notes:
- Payment must include a copy of the registration confirmation.
- Please enter all Badge Numbers in the memo line of the check.
- Membership dues must be paid prior or at the time of registration to receive the member registration rate.
- There is no refund for those who register at the non-member rate and then join ACTFL or one of these Convention Partner organizations (AATJ, CLASS, CLTA or TFLA).

Purchase Order and Check Instructions
- Purchase Orders will ONLY be accepted from an institution.
- All purchase orders MUST include a copy of a completed registration confirmation that includes the attendee badge number.
- Each Purchase Order must contain the following information: Attendee name(s), badge number, and amount due for each attendee.
- The cutoff date to receive Purchase Order payments for registration is Wednesday, October 28, 2026. Credit card payments made onsite by registrants for unpaid Purchase Orders will not be refunded until a check is received and processed by show management for final approval.
- Check payments for outstanding Purchase Orders received after December 31, 2026, cannot be accepted and will be returned to the school. After that date, the school will need to reimburse the attendee directly.
The convention registrar, Maritz, will send an invoice to the issuer of purchase orders; HOWEVER, IT IS THE ATTENDEE’S RESPONSIBILITY TO MAKE SURE INSTITUTION PURCHASE ORDERS HAVE BEEN PAID (CHECK OR CREDIT CARD PAYMENT RECEIVED) PRIOR TO THE EVENT.
Cancellation/Refund Policy
- All requests for refunds for a cancellation must be made in writing via email to Maritz, no later than Wednesday, October 28, 2026. No refunds for registration(s) will be honored after this date.
- All refund requests will be subject to a $95 processing fee and will be made in the same manner payment was made.
- Check refunds for those who cancel by Wednesday, October 28, 2026, will be processed within 8 weeks after the Convention.
- Any substitution requests must be in writing from the original registrant and are subject to a $95 processing fee.
Confirmation of Registration
Registration confirmations will be sent via email from the convention registrar, Maritz, within 2-3 business days after receipt of the correct and completed (i.e. paid in full) registration information. If no email address is provided along with your registration, then fax or postal mail will be used. Please keep a copy of your confirmation for your records. The email will come from EventConfirmation@maritz.com; please allowlist, or have your IT department allowlist, this email address to ensure your confirmation arrives to your inbox.
Registration Categories
Member vs. Non-Member: An individual is eligible to pay the member rate if they are a current member of ACTFL or any of these convention partner organizations: American Association of Teachers of Japanese (AATJ), Chinese Language Association of Secondary-Elementary Schools (CLASS), Chinese Language Teachers Association (CLTA), and Texas Foreign Language Association (TFLA). Your membership must be valid through November 30, 2026, to be allowed the member registration rate.
Please make sure you have valid documentation of your membership status (if applicable) since the membership information provided by these convention partners is not always the most current. Please contact your Partner Organization in the event your name is not found during the online registration process, or you will be required to pay the non-member rate. NOTE: Adjustments or refunds for registration fees will not be given to individuals who register at the non-member rate and later join ACTFL or one of the partner organizations.
Full Convention: A registrant is eligible to attend all convention activities other than ticketed meal functions, which require an additional fee.
One Day Only: A registrant in this category is eligible to attend all convention activities onsite in San Antonio during the one-day for which they are registered (either Friday, Saturday, or Sunday). Ticketed meal functions require an additional fee.
Presenter: To receive the presenter rate, you must be verified as a current presenter of a session, practice-oriented or research-oriented paper, electronic poster, or roundtable accepted by the Convention Committee through the Call for Proposals review process. Per ACTFL policy, all presenters must be a member of ACTFL or one of the Convention Partner organizations.
Student: If you are a full-time undergraduate or graduate student, you may register at the student rate. You must provide the name of your department chair, dean or advisor, their email address, the name of the institution, your graduation date, and your student ID.
Ticketed Meal Functions: Please note that no tickets for the meal functions will be sold onsite. All tickets must be purchased in advance no later than Sunday, November 15, 2026.
Group Discount: A 10% group discount on the Full Convention Registration Rate is only applicable when registering 10 or more individuals from the same institution. All registrations must be completed at the same time and accompanied by payment with one check, credit card or Purchase Order.

Special Needs
Please indicate any special needs during the registration process. ACTFL cannot guarantee that all special needs requests can be accommodated.
ASL Information
ACTFL will provide ASL interpreters for the General Sessions and presentations with Applicable Language = ASL. Attendees are encouraged to use the built-in Live Caption feature on mobile devices for other sessions and events to improve equity and accessibility to all sessions for our Deaf and Hard-of-Hearing attendees. ACTFL will ask presenters to recognize front row seating in sessions to enable attendees to use their personal device to live transcribe during the session. Professional Development Units/Hours and Certificate of Attendance
- Professional Development Forms will be available onsite at the Henry B. Gonzalez Convention Center registration desk for you to record your professional development units/hours viewing sessions during the event or you can log in to the Registration Resource Center using your badge and email to obtain additional copies.
- Individuals should check with their state or district prior to the convention for local requirements. ACTFL will not file with the state or district for an attendee. ACTFL takes no responsibility for the paperwork being correct and completed according to local requirements.
- All attendees will receive a personalized Certificate of Attendance following the ACTFL Convention or you can log in to the Registration Resource Center using your badge and email to obtain your Certificate.
Photograph and/or Video Permission
By registering for the convention, individuals are giving ACTFL permission to use any photographs or videos taken during the Convention.
E-mail and Mailing List Permission
By registering for the Convention, individuals are giving ACTFL permission to make their contact information available to exhibiting companies and any of our Convention Partner organizations. Individuals not wishing this information to be released must select the “Do Not Share Info” option when registering.
Policy on Children at the Convention
- Due to the size and nature of the 2026 ACTFL Annual Convention and World Languages Expo, children under age 16 will not be permitted in the Exhibit Hall for safety reasons. Thank you for your understanding and cooperation. Children 16 years and over will need to register as an attendee.
- Children under 16 years of age when accompanied by an adult guardian may attend an educational session. If this results in a disturbance, the presenter can ask the adult and child to leave the session.
- The hotel concierge may be able to recommend activities for children while their parents are attending the Convention.
