Responsibilities, Handouts, & Tips

ACTFL is pleased that you will be participating in the program at the 2026 ACTFL Annual Convention at the Henry B. González Convention Center in San Antonio, Texas from November 20-22. You will be contributing to what we know will be a robust, informative, and exciting convention program. We look forward to seeing you in San Antonio!

Presenter Checklist

  • July 29, 2026: Early Bird Registration deadline
  • August 21, 2026: Submit any presenter information (e.g. affiliation, email address, cancellation, change of presenters, etc.) to us at convention@actfl.org by this deadline.
  • September 4, 2026: Submit Presenter Agreement by this deadline
  • September 4, 2026: Register for Convention and be a member of ACTFL or one of the convention partner organizations (AATJ, CLASS, CLTA, TFLA) by this deadline. Be sure to take advantage of the Presenter Rate!
  • October 21, 2026: Order any additional AV by this deadline for discounted rates (applies only to session and paper presentations)
  • November 9, 2026: Order any additional AV by this deadline for standard rates (applies only to session and paper presentations)
  • November 9, 2026: Upload any handouts to the Ready Room (optional)

Sessions

A Session is 45 minutes in length with 10 minutes dedicated to discussion and questions in a meeting room. There may be a single presenter or a lead presenter with up to three co-presenters and should address a topic of interest to attendees in an engaging and interactive format that allows for audience participation within the session.

ACTFL will provide an LCD projector, tripod screen, projector stand, power strip, lectern microphone if the meeting room size warrants, and an audio interface for laptop (if needed) at no cost to the presenter. If your presentation requires any additional equipment, that must be ordered at your expense. WiFi will be available throughout our meeting spaces in the convention center.

NOTE: If you will be using a MAC or PC laptop computer or any other device such as an iPad, iPhone, or Surface tablet that does not output to a standard HDMI connection, we recommend that you bring your adaptor (dongle) to connect to our projectors which accepts a standard HDMI connection. Otherwise, a fee will be charged by our AV company for the rental of an adapter or connecting cable.

If you wish to order any additional AV equipment other than the package ACTFL provides, please navigate to: Freeman Online Events and Exhibit Solutions, click on Shop, then scroll down to Audio Visual product categories. To take advantage of the discounted rates, please order by October 21, 2026. You may still order after this date, but standard rates will apply. The deadline to order additional AV equipment for your presentation is November 9, 2026.

Practice-oriented & Research-Oriented Papers

A Practice-oriented Paper takes place in a meeting room and is 15 minutes in length, with 10 minutes dedicated to content on a single idea with practical tips and 5 minutes for discussion and questions. These presentations condense information and insight on a pedagogical topic into a shorter format. This presentation should focus on specific classroom applications, activities, and techniques rather than a general discussion of a topic. Papers will be grouped together with other papers within a 45-minute time slot. Therefore, it is essential that presenters respect the time limits above.

A Research-oriented Paper takes place in a meeting room and is 15 minutes in length, with 10 minutes to present and 5 minutes for discussion and questions if you prefer. Proposals should address a current and relevant research topic of interest to language educators. Presentations might include a brief introduction about the focus or question of the study, subjects, research design and analysis, but the vast amount of time should be spent on results and implications for language learning and teaching. Presenters should avoid reading papers and/or study results and instead present the research in an appealing form. Papers will be grouped together with other papers within a 45-minute time slot. Therefore, it is essential that presenters respect the time limits above.

Roundtables

Roundtables are 45-minute oral presentations and discussions with a group of 10 people seated around a common table in a meeting room. There will be multiple Roundtables being presented at the same time. There should be no more than two (2) presenters per table since there are only 10 chairs in total.

Roundtable presentations typically are 30 minutes of presentation followed by 15 minutes of discussion and feedback. Roundtables are an ideal format for networking and in-depth discussion on a particular topic. Presenters are encouraged to present their latest research or project in an engaging and interactive way.

If presenters are using a laptop to present, it must be operating on battery power since electrical outlets are not available. ACTFL will not provide laptops/computers. No additional audiovisual equipment is allowed for Roundtable presentations. WiFi will be available throughout our meeting spaces in the convention center.

Electronic Posters

An Electronic Poster is an opportunity for presenters to share their research or a project with attendees as they move through the poster area during a 60-minute period in the Exhibit Hall. There will be multiple Electronic Posters being presented at the same time in the area in the Exhibit Hall, and each Poster will have a sign with your poster title hanging on the drape behind your table.

Your laptop must be operating on battery power since electrical outlets are not available. ACTFL will not provide laptops/computers or Internet access. No audiovisual equipment is allowed for Electronic Posters. Although WiFi will be available throughout our meeting spaces in the convention center, strong and stable WiFi is not guaranteed in the Exhibit Hall.

Important Note to Presenters

Handout Materials

Be sure to have your lead presenter upload your handout materials into the Ready Room by Monday, November 16, 2026, if you wish to make them available to attendees on the Convention Program online and Mobile App prior to the start of Convention. Note: Co-presenters will not have access to do this. Please ensure that all handout materials complement the learning objectives, description, and audience level in the content details you submitted as shown in your online Ready Room.

You may still upload handouts during Convention and post-event, but please note it may take a couple hours to appear in the Convention Program online and Mobile App. You will have the option to upload handouts following Convention instead of prior to the event if you prefer.

How to Upload Presentations/Handouts

  1. Click on the Sign In button below, OR
    1. Go to the 2026 Convention Program.
    2. Click on ACTFL Sign In.
  2. Sign in with your ACTFL Online user credentials (you cannot be logged into both the ACTFL website, actfl.org, and the 2026 Convention Program at the same time).
  3. Once logged in, put your mouse over "Dashboard" in the upper left-hand corner and click on the "Access Ready Room" link that pops up. In your Ready Room, you will see a "Submit Handout(s)" button next to your presentation listing.
  4. You must upload a PDF file (Microsoft Word and Microsoft PowerPoint files cannot be uploaded) by Monday, November 16, 2026, if you wish to make them available to attendees prior to Convention. Handouts will not be made public on the ACTFL Mobile App and 2026 Convention Program until the week of Convention beginning Monday, November 16, 2026.
  5. Presenters can still upload handouts before, during, and after the Convention. Please note that it takes one (1) hour for your handouts to appear in the mobile app and in the 2026 Convention Program once you have uploaded them.

Sign In to the 2026 Convention Program

Cancellation or No Show

Presenters who cancel their session after agreeing to present or who are a “no show” at the convention may not be considered for a presentation for the following year’s convention.

Changes to Your Presentation

After review and acceptance by the committee, no changes of a substantial nature may be made to your presentation. If there are changes in the presenter information (e.g. affiliation, email address, cancellation, change of presenters, etc.), please notify us at convention@actfl.org by Friday, August 21, 2026.

Internet

Presenters will have access to a wireless Internet connection in all meeting rooms. ACTFL cannot guarantee the optimal performance of higher bandwidth usage such as streaming video, Zoom, or other chat applications. Furthermore, ACTFL cannot guarantee that all connections will be secure. NOTE: Although WiFi will be available throughout our meeting spaces in the convention center, strong and stable WiFi is not guaranteed in the Exhibit Hall.

Registration Reminder

ALL PRESENTERS MUST REGISTER FOR THE CONVENTION by Friday, September 4, 2026, or your presentation may be subject to cancellation! There is a special rate for presenters, but you must be an ACTFL member or one of the convention partner organizations. You can enter this one-time promo code at the time of registering to receive this special rate. Please note that you will not be able to register at the full rate and then get a refund for the difference, so be sure you enter the one-time use promo code that was emailed to you to get the special presenter registration rate. This code is only for presenters accepted via the Call for Proposals and is not to be shared with others.
