Presenter Information
Congratulations for being selected to present during the 2009 ACTFL Convention and World Languages Expo in San Diego, CA. By sharing your expertise, you are contributing to a successful and meaningful experience for all attendees.
Online Convention Program
The Convention program is available online at www.actfl.org. You may search the Online Convention Program in two ways:
Option 1: Anyone may search the program by clicking the "View the Program" link to the left side of the page. In this manner you may search and browse the program as a "Guest."
Option 2: You may search the Program by logging in using the login box at the upper-right of the page. This will allow you to take full advantage of the "My Schedule" feature of the site. Presenters can see their schedule by clicking "My Schedule." Anyone can create a personalized schedule by adding sessions to "My Schedule."
Searching Tips
In the search process you will find three categories for searching the database: people, sessions and individual submissions. You may search under "People" and type in the presenter’s name. You may select "Individual Submission" to search for an accepted paper or poster. Select the "Session" category if your submission was accepted as a session, grouped into a panel presentation or to locate a meeting or special event. If you don't find what you are searching for in one category, please try another. You may click on the “Advance search options” to search by keyword, session type, language or level.
AV Equipment
As you prepare for your presentation there are several pieces of information to share with you. As you know ACTFL is providing a basic AV package which includes an LCD projector with audio, screen, and cart. You are responsible for bringing or renting your own laptop computer if you are doing a PowerPoint presentation or any other equipment needed for your presentation. If you require any additional equipment, you will need to complete the AV order form. Please be aware that you will receive a significant savings if you order by October 30, 2009.
Internet Service
ACTFL does not provide Internet connection. This cost is at the expense of the presenter. If you require an Internet connection for your presentation, you will need to fill out the order form provided for your use. Several varieties (speeds) of internet are listed on the order form for you to choose. You will also need to sign the Terms and Conditions along with filling out the Network Security Declaration form. For wireless, it is self serve upon arrival. You will need a credit card and a wireless card in their lap top. It is $12.95 for 24 hours – Instant Internet. Please contact SmartCity on the order form if you have any questions.
Meeting Room Capacities
Most of the meeting rooms will be set in theater style seating. First, search the Online Convention Program to find the location of your session and then look up the meeting room’s capacity using the web address provided above. This will help you determine the number of handouts you might want to bring. For example, if the meeting room for your session has a seating capacity of 80, then you should prepare at least 80 handouts.
Handouts
You can upload your handout materials electronically through the Online Convention Program page on our web site for access by attendees after the convention. You can only upload one file with the handout information from your session. If there are multiple presenters, then all information must be saved in ONE file to upload. For example, a presenter cannot upload a document and then another presenter upload a document for the same session. The last uploaded document will over-ride the previous uploaded document. The space limit is 10mb.
Food and Beverage
For organizations planning to have a breakfast, luncheon, reception or refreshment break, you will find menus for the San Diego Convention Center and San Diego Marriott Hotel on this page. If you need to order food and beverages for your meeting/event at the San Diego Convention Center, please contact Dorianne Mormann at 619-525-5819 or email her at dorianne.mormann@visitsandiego.com. Poster Displays
If you are making a poster presentation, please have your poster set up at least 30 minutes before your scheduled time to present. Once your presentation time is over, please remove your materials so the next group of poster presenters will have a clean poster board. If the items are not removed, ACTFL cannot be responsible for any damaged or lost materials. Please read the additional information provided on poster displays.
